The context

A regional construction firm — around 14 staff, mix of office and on-site. They’d been quoted £14,000 by a dev agency for a proper site-reporting app and walked away. The ops manager was meanwhile losing about 6 hours a week wrangling WhatsApp voice notes and photos into a usable archive.

Where they were

Site managers filed daily reports via WhatsApp voice notes and photos into a shared drive. The ops manager spent her Friday afternoons transcribing, tagging and filing them. Reports were always late and never quite consistent.

The engagement

Integration — 4 sessions over 6 weeks with the ops manager and MD. Claude Max at £80 a month, shared between the two of them.

What we built together

A mobile-first site-report tool. Site managers upload voice notes and photos, Claude structures them into the firm’s actual report template, and everything lands in the right project folder, properly tagged. The ops manager built it — not the developers.

The moment it got real

The first version transcribed cleanly but kept inventing site names that weren’t live projects. Fixed in session 3 by feeding it the live project list from a shared sheet.

The numbers

About 5 hours a week back for the ops manager. The £14k dev quote avoided entirely. Ongoing cost: £80 a month for the Claude subscription.

Where they are now

Still on Integration. Their build days have moved on to a quoting tool that pulls from past job costs — second project from the same engagement.
