Outcome

The context

A solo financial adviser running his practice from a home office. No staff, no IT support, and a working week increasingly eaten by the gap between the four or five SaaS tools he was paying for.

Where they were

Calendly, HubSpot Free, DocuSign, a compliance SaaS and a homegrown Excel fact-find — none of which talked to each other. Around £280 a month in subscriptions, and roughly 45 minutes of copy-pasting between systems every time a new client came in.

The engagement

Foundations — 2 sessions over 3 weeks. Claude Pro at £18 a month, plus a Claude Code walk-through in session 2.

What we built together

A single web app that takes a new client’s intake form, drafts the fact-find, pre-fills the compliance checklist and generates the welcome email. Runs on one Cloudflare Worker that he maintains himself.

The moment it got real

The first version tried to do too much. We threw it away in session 2 and rebuilt around the intake-to-fact-find flow alone. Once that worked, the rest came together fast.

The numbers

New-client onboarding now takes about 8 minutes instead of 45. He’s dropped HubSpot and the compliance SaaS — roughly £190 a month back in his pocket. Ongoing AI cost: £18 a month.

Where they are now

Still on Foundations. We meet twice a month — currently working on automating the quarterly client review pack. The original onboarding tool runs untouched.
